We know every single business and client is unique. The beginning starts with analyzing your project and looking at the desired final result.
"What will the files be named?, Where we the files be stored?, Are all the documents the same size?." (Just a few Q's to start)
Document scanning and processing tasks start with preparation and sorting of the documents. This might be as simple as just pulling staples or include tasks like organizing the content within a record and inserting coversheets.
Once documents have been prepared and sorted accordingly, the document scanning phase can begin. We look at scan quality DPI and image type (color, black & white, grayscale).
Image Q&A procedures help qualify that scanning quality is acceptable and images are legible. This is important to post-processing tasks.
Creating final file formats can happen during various phases, but for maximizing project efficiency, we find processing post-QA provides the best results. Final file processing is taking scanned images and outputting the final file format. All stages 3,4, & 5 can sometimes be completed in one scanning application.
File indexing processes include inputting data from the file or scanned images. Indexing helps the search-ability of records logs. For indexing data from file folders, it may be helpful to complete this task before the indexing stage.
Post-processing procedures can include tasks such as adding Optical Character Recognition (OCR) to make PDF documents searchable, specific file naming, Auto-Classifying documents based on text content, Handwritting Recognition, and so much more.
The final step is delivering and maintaining files successfully. Client portals, SFTPs, hard drives, etc.
